Wedding Coordinators

Your coordinator works closely with the venue, recommends wedding professionals, helps you with budgeting, and most importantly, captures your vision of the wedding you’ve always dreamed of and makes that dream come true! Even if your venue doesn’t require a wedding coordinator, if you expect over ten guests for your Aspen/Snowmass wedding, you’ll want to be sure you have a caring professional by your side helping you navigate your way through all the long-distance planning. The wedding coordinators listed below all are recommended by the best venues in Aspen/Snowmass, and have a history of working well with these great wedding locations. Limelight Hotel

Courtney Pagan

355 South Monarch St

Aspen, CO 81611

Originally the “the Ski and Spur Bar,” the property served outlaws and skiers alike in the spirit of the Wild West. New ownership took over in the 1950s, renaming the bar “the Limelite.” The Limelite quickly gained popularity as a lively nightclub and dinner theatre. Folk singer Glen Yarborough loved performing at the Limelite so much that he bought the bar. Glen graced the Limelite stage regularly as part of the Limeliters trio, amid a steady stream of star entertainers including Judy Collins and the Smothers Brothers.

Today, The Limelight Hotel continues to serve the same adventurous, music-loving clientele as the original Limelite Lodge and Ski and Spur bar before it. Contemporary and inviting, the Limelight continues to offer a vibrant après ski scene with free live entertainment, and welcome pets like its previous owners. The property’s original heart and soul continues to shine brightly at the Limelight Hotel.

Carolyn Cerise Barabe,

Frequently Asked Questions about your Aspen/Snowmass Wedding

What does a wedding typically cost?
Some venues are no more expensive than a local hotel in any U.S. city; others are more expensive.

Is there such a thing as a budget wedding in Aspen? Yes (see above)!  For an elopement for two, you can stay at one of the affordable lodges listed above, have Rev. Chris Mohr perform a ceremony in the mountains or in a local park pavilion, pick up a cake and flowers from the local City or Clark’s Market, etc. For bigger destination weddings, it is possible to have a wedding that is affordable, but a super low-budget wedding is not realistic.

Can I arrange to have my ceremony at the hotel?
Generally yes. You may arrange to have your ceremony in designated areas of most hotels.

When is it less expensive to host a wedding: in the summer or winter?
Summer is the low season in Aspen/Snowmass. Hotels offer more flexible conditions and pricing during that time with lower food and beverage minimums.

Do I need a deposit to secure my date?
To secure a date, a signed contract and non-refundable deposit is usually required.

What additional fees may apply during my wedding?
Fees may apply depending if services are requested such as Coat Check Attendants, Chef/Carver, Bartenders, deliveries or excessive luggage, etc.

Do rental fees apply?
The Client is usually responsible for any rental charges on items needed for the event that are not property of the venue. Use of outside providers usually must be pre-approved by the Hotel.

Do hotels recommend vendors?
Yes. Most venues are more than happy to provide you with recommended vendors or coordinators. Please consult with your Wedding Coordinator for a recommended list of creative and qualified wedding professionals. Revs. Chris and Karen Mohr are welcome at all major Aspen/Snowmass venues and work closely with most of Aspen’s top coordinators.

Can someone assist us on our wedding day?
Yes. Your Wedding Coordinator will be on site to assist you on your special day; some hotels also provide wedding service personnel.

Is there someone to assist us on planning transportation and other activities?
Yes. Whether you are looking for a snowmobiling trip, rafting adventure, team building experience or an offsite dinner with transportation, the concierges and wedding coordinators all have relationships with reliable and professional companies to fit all your wedding group needs.

Can I host my entire event outside?
Aspen/Snowmass venues offer a wide and appealing selection of dramatic outdoor venue spaces. We recommend that for every outdoor function, a back-up space is also secured in case of inclement weather.

Do hotels offer discount guest room blocks?
If you wish to reserve a block of rooms for your family and guests, please notify your Wedding Coordinator or the hotel for availability and rates.

When do I need to let the hotel know exactly how many guests will be attending my event?
Usually, the hotel must be notified of the exact number of guests attending a function at least 72 working hours prior to the start of the event. This will be considered a guarantee; you will be charged, even if fewer guests attend.

Where does the bridal party get ready before the wedding?
We recommend room reservations be made for a minimum two night length of stay with a check-in date of the night before the wedding and checkout the day after the wedding. This eliminates the stress on the day of the wedding of having to check-in and out of guestrooms.

What time does my event need to conclude?
Standard Wedding Packages often includes 5 or 6  hours of service. Additional hours are available for extra money, in addition to bar fees. Under Colorado State Law, all bars must close at 1:45 a.m. and all alcohol removed by 2:00 a.m.

Do hotels provide complimentary bridal suites?
Many hotels offer a complimentary suite to the bride and groom on the night of the wedding.

Can I have my photos taken at the hotel?
Most hotels allow guests who are getting married at the hotel to have photos taken on property. This right is usually reserved to Brides hosting their wedding at the hotel.

Can my guests park at the hotel?
Yes. Valet parking is usually available, although many guests have no need for a car rental!  A few hotels have self-parking options.

How do hotel deliveries work?
Arrangements for delivery of packages should be made through the Wedding Coordinator and must be prepaid. The hotel requires advance notice of deliveries, and do not guarantee storage of excessive boxes or deliveries without prior approval by management.

Can food and beverage be brought in from the outside?
Generally, the hotel must provide all food and beverage items. The sale and service of alcoholic beverages is regulated by Colorado. It is the hotels’ policy that all alcoholic beverages must be provided by the hotels.

Can I create a customized menu for the wedding reception?
Additional menu selections and customized proposals are available through your Wedding Coordinator. Many hotels offer customized, complete catering and event services for both on and offsite events.

Do you offer a menu tasting?
Many hotels offer Brides the opportunity to experience food tastings prior to the wedding. All tastings are coordinated with your Wedding Coordinator.

What about food and beverage minimums.
The food and beverage minimum is the least amount of money that you are required to spend on a combination of food and beverage, excluding service charge and sales tax. For all venues, the food and beverage minimum is reached by selecting menu and bar items to equal or exceed the minimum dollar figure.

When do I need to finalize my menu?
Often, food and beverage selections must be finalized and confirmed with your Wedding Coordinator at least 10 days in advance to guarantee availability due to seasonality of some selections. Requests for substitutions must be submitted three (3) business days prior to event, and are subject to availability and Hotel approval. Parties of 10-12 or more must pre-select a menu. Hotels reserve the right to select a limited menu should the party size exceed 12 without prior arrangements.

What activities can be done in the summer?
Enjoy cool mornings and warm days while indulging in countless activities with your group during the summer months. Just moments from our front door you will be able to enjoy a round of golf, tennis, river rafting, fly fishing, hiking, mountain biking, hot air balloon tours, horseback riding and historical tours.

What activities can be done in the winter?
Aspen and Snowmass are the ideal winter wonderland destinations.  If skiing is not your cup of hot chocolate, your options are countless from ice skating, cross country skiing, sleigh rides, ice climbing, snow shoeing, shopping and historical tours.

What are the spas like?
Several hotels offer great spa services. Ask your wedding coordinator for advice on the best one for you.

What airports are close by?
Hotels often offer transportation to and from the airport and can assist you with planning logistics. Buses and taxis can quickly get you to your location. The closest airports and approximate travel times:
Aspen Airport: only 15 minutes from Aspen or Snowmass.
Eagle Airport: 1 hour 45 minutes.
Denver International Airport: 4 hours 30 minutes.
